Mastering administrative English requires more than just basic language skill, it requires understanding specific vocabulary and terminology for addressing the student’s inquiries accurately.
Let’s explore the seven scenarios you might face while working as an administrator in the school's administrative units:
Question:
I lost my student ID card, what should I do?
When can I receive my student ID card?
Answer:
You can log onto iNCCU, the Student Information System, then search for the section “Access Control Cancellation and Replacement/Renewal Application System” for the process to replace or renew your student ID card. Once your application is confirmed, please print out the necessary documents and submit them to the Registration Section for further processing. The process usually takes two business days.

Excuse me, how can I find information about scholarships for international students?
Where can I learn more about the scholarships for international students?
Is there a specific website where I can search information about scholarships offered to international students?
Answer:
For scholarship information, please visit the website of the Office of International Cooperation. On the website’s homepage, click on the section labelled “International Degree” and you will see a link labelled “Scholarships.” You'll be directed to the scholarship page where you can find detailed information about available scholarships, eligibility criteria, application procedures, deadlines, and any other relevant details.

Excuse me, can I apply for the school dormitory?
Can I choose the room and my roommate?
Answer:
For school dormitory information, you can check information about school dormitories on the website of the Office of International Cooperation. On the website’s homepage, search for the section labelled “Practical Matters” and click on the link labelled “Housing” You'll be directed to the housing page where you can find detailed information about available dormitories, eligibility criteria, application procedures, and any other relevant details.

How do I apply for an English transcript?
Where can I apply for a Chinese transcript?
Answer:
English transcript or Chinese transcript can be obtained from the Registration Section on the 4th floor of the Administration Building. You may make payments using the Registration Section automatic payment machines, take the receipt to the relevant department if you need to obtain more transcript copies.
Question:
How do I apply for an Enrollment Certificate?
Answer:
There are a few ways to apply for an enrollment certificate. First, you can apply for the certificate and get it done by the Automated Payment Machine right on the Administration Building. Or, if you prefer, you can print out the Enrollment Certificate yourself from the school website. You can also take a copy of your student ID (front and back) to any of the registration counters. They'll give it a stamp of approval, turning it into your official Enrollment Certificate. These steps are pretty easy and straightforward.
Question:
I would like to ask several questions regarding course exemption, can my credits for courses I have already taken be exempted?
How many credits can be exempted for the credits I already earned from another university?
Answer:
Please submit your transcript(s) to your department or program office for any credit exemption-related affairs. The department will review your transcript(s) and determine the number of credits that can be exempted for courses you've already completed. If you've returned from studying overseas, please fill out the Study Abroad Course Credit Application and attach your transcripts. This application will help the department assess which credits can be exempted based on your previous coursework. Any courses for which you receive credit will be added to your elective course transcript. Please remember that if a course taken abroad is intended to be exempted for a general education, physical education, minor study, or double major course, it must first be approved by the relevant department before the credit can be exempted.

Excuse me, may I ask what is dropping a course?
When is the drop deadline?
Are there any restrictions on dropping courses?
Answer:
Dropping refers to abandoning a course during the semester. The deadline for dropping a course is two weeks after midterm exams. You may drop a maximum of one course per semester. But remember that after your drop, the total credit hours cannot be lower than the minimum credit hours required per semester.
